Who Buys From You is run by Softwiz Infotech, Mohali, India (“we”, “us”). You can reach us at anil.channa@softwizinfotech.com.
This policy explains what we collect when you use Who Buys From You, why, who we share it with, and the choices you have. We keep it short and plain: if anything is unclear, ask us.
1. What we collect
- Your account: your name, email, company name, and your password (stored only as a one-way hash; we cannot read it).
- What you ask us to research: the websites you give us, the pages we read from them, case studies you upload, and the descriptions of your customers, searches, companies and decisions that come from them.
- People at companies you research: names, job titles and, only when your assigned user asks for them, work emails and phone numbers, fetched from your own Apollo or Hunter account; and details you type in yourself.
- Your Apollo or Hunter key or sign-in: encrypted before it is saved and never shown again, not to your colleagues and not to us. Only the person you assign can use it. Every use is logged.
- Your mailbox, if you connect one (Gmail, Zoho Mail or Outlook): its address and a sign-in, encrypted before it is saved. We save the drafts you ask for into it, and send one only when you press Send on it and confirm: nothing is sent automatically. We read only the conversations the app started (to see when you sent an email and when someone replied), messages from people you saved as contacts, and how many emails the mailbox sent each week (dates and counts only, never their content) to set a safe daily sending limit. We do not read the rest of your mailbox.
- If you ask for a free list on our home page: your website and email address, and your network (IP) address, used only to limit how many are asked for. We email you a link to confirm the address, the list with a description of your best customers, and one short follow-up note a few days later, and record whether the links in those emails were opened, to see if the list was useful. If your email address is not on the website's own domain, we review the request before opening an account. If you came from a QR code at an event, we note which event. The companies we send are found on the public web and in public company registers.
- A WhatsApp or phone number, if you leave one after confirming your free list. It is optional. We use it only to arrange a walkthrough of the companies we found and why they fit, never for other marketing, and we do not pass it to anyone. Ask us and we delete it.
- Meetings booked through your booking page (Calendly, Cal.com), if you connect its webhook: the booker's email address and the meeting time, kept only when they are someone in your pipeline, to mark the meeting on them. Other bookings are ignored.
- Business cards you photograph: read on our server to fill in the contact's details, then discarded. The photo is never stored.
- Email drafts written for you, their versions, your example emails for your writing style, and the people you ask us never to contact.
- Messages and requests you send us in the app, and records of payments you make to us.
- Technical records: sign-in times, searches run, and error reports when something fails. Error reports never include what you sent with the request, such as a password.
2. How we use it
- To run the service: read websites, describe who buys from you, find and research companies, and show you the results.
- To keep your account secure, count your searches against your plan, and fix what goes wrong.
- To answer your messages and arrange your plan and payments.
- To improve the service: your accept and reject decisions help future searches find better companies for you. We do not sell your data, and we do not use it for advertising.
- Google user data. Who Buys From You's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to save the drafts you ask for, send a draft when you press Send and confirm, show you replies to emails you sent through the app, and count how many emails were sent each week (dates only) to set a safe sending limit. It is never used for advertising, never used to train AI models, never sold, and never read by people except with your permission, for security, or where the law requires it.
3. Who we share it with
Only the services needed to run Who Buys From You, each for its part of the work:
- AI model providers (such as Ollama Cloud, Groq, Google Gemini or Anthropic), which read website text to describe your customers and research companies.
- Web search providers (such as Tavily and public search engines) and free company registers, to find companies.
- Apollo and Hunter, through your own accounts, when you connect them and ask for people or contact details.
- ZeroBounce, which checks an email address, or looks one up, only when you press Check address or Find an address.
- Google, Zoho or Microsoft, for the mailbox you connect, to save drafts, send the ones you confirm, and read replies to them.
- Google Places, for the place you type when you look for local businesses.
- Cloudflare, which checks that the free list form is used by a person, not a bot.
- Microsoft Clarity and Google Analytics, on our public pages only and only if you choose Accept all: how visitors find and use those pages. Never inside the app.
- Public DNS and domain registration records (RDAP), to check a sending domain's setup and age: only the domain name is sent.
- Our hosting provider, which stores the data. The pages' typefaces are served from our own site, not from Google.
- A card payment provider, once card payments are added to the app.
Everyone on a company's team in the app can see that company's descriptions of its customers, results and people. We never contact or read LinkedIn: LinkedIn pages shown come from a company's own website, from Apollo, or from what you type. We may disclose information where the law requires it.
4. Cookies and browser storage
We use one cookie to keep you signed in, and Cloudflare may set its own when it checks that the free list form is used by a person. These are needed for the site to work. Your browser also remembers what you set yourself, such as light or dark, and in the app the company you were working on and how the Pipeline is laid out.
Optional, and only if you choose Accept all: last visit's prices, so they show at once, and visitor statistics on our public pages (the home page, sign-in and these policies) from Microsoft Clarity and Google Analytics. They set their own cookies to count visits, see which pages and links are used, and, for Clarity, replay how the page was scrolled and clicked, with what you type hidden. They never run inside the app. Reject optional keeps none of this. You can change your answer at any time from Cookie settings at the foot of every page. We use no advertising cookies.
5. How long we keep it
We keep your account and its data while you use the service. Resolved error reports are deleted after 90 days. The text of replies read from your mailbox is deleted after 12 months (the fact that someone replied, and what kind of reply it was, are kept). Disconnecting a mailbox withdraws our access at once and deletes what we read from it. If you ask us to close your account, we delete your data within 30 days, except records we must keep by law, such as payments.
6. Your choices and rights
You can ask to see, correct, export or delete the personal data we hold about you, and ask us to stop using it. If we hold details about you because a customer researched your company, you can ask us to remove them. Write to anil.channa@softwizinfotech.com and we will reply within 30 days.
7. Security
Data travels encrypted (HTTPS), passwords are hashed, and Apollo keys are encrypted with a key kept apart from the database. Access inside a company is limited by role. No system is perfectly secure; if we learn of a breach that affects you, we will tell you promptly.
8. Children
Who Buys From You is a business tool, not meant for anyone under 18, and we do not knowingly collect their data.
9. Changes
If we change this policy, we update the date at the top, and tell you in the app or by email before a change that matters takes effect.
